MEETING MODERATION



When you book a meeting, you become automatically the moderator of that meeting. This allows you to control and moderate other participants in the meeting.

During the meeting you can click on the icon of any participant (participant view). If you are not the owner or the moderator of the meeting a little frame will show up that will let you start some actions with selected participant. In case of opened meeting, after 3 minutes without moderator you will have the temporary privileges to mute the audio and the video of the selected participant. Those privileges disappear as soon as a moderator will join the meeting.

YOU ARE A MODERATOR


As soon as you are the moderator of the meeting, the Moderator button is available on the DashBoard of Koala. Depending on the type of the meeting, you have access to different moderation capabilities and different interfaces to moderate the meeting. You have access to the Moderation Window (in all meeting types) and to the RaiseHand Window (only in few meeting types).

RAISE HAND MANAGER


This automatic moderation mechanism is available only for the plenary and the classroom meeting type.
As soon as participant asks to speak the "Raise Hands Manager" window shows up. The icon means that the participant is still waiting to speak (keeping his/her hand up). Total waiting time (number of minutes) for each request will be reflected near this icon.
Moderator can
accept or reject any request thanks to this widget. If a moderator accepts a request and grants the access to the participant, the accepted request bar will stay in the widget with the icon (means that the participant now has privileges to speak). A Moderator can decide to stop the access privilege (to speak) at any time and can do this from the window by clicking on the button. When request is rejected or canceled it will be automatically removed from this window.

If moderator doesn’t want to be disturbed during part of the presentation and wants to deny all raising hands during this period, the moderator should click on the button at any time. When a moderator wants to allow questions/comments to be accepted again, he can click on the button.
If the moderator closed the ”raise hands manager”
widget by mistake, it can always be opened via the button of the DashBoard.

We suggest to use only the Raise Hand Manager and do not mix with the moderator manager when it is possible.

MODERATION MANAGER


To open it click on any participant of the meeting (from the participant view) with left mouse button or on the Moderator button, the Meeting Moderation Manager will show up.

The manager consists of three parts. The field at the top of the window will show any explanation hint when you will move mouse over other action buttons in the middle section of the window.
The middle part will reflect all possible actions you can do as moderator with this particular participant whose icon you clicked. Note that the first row contains the usual action items which are available to any normal user. The bottom part shows the possible actions which could affect meeting as a whole and all meeting’s participants.

Most buttons of the widget show the status of the media for the selected participant. For instance, the button
shows that the user has his microphone open. A click on it will mute the microphone and the button will become . The status of the buttons will be automatically updated upon your actions, but sometimes it could take up to a few second to have the status reflected.

4 possible Status:
  • Currently transmitting the media (enabled)
  • Muted : the media is muted (not transmitting) but the user can switch ON the microphone using DashBoard.
  • Enabled : the user can mute or un-mute its media using DashBoard
  • Disabled : the user can not transmit this media (but can receive it) unless a moderator will enable it again

The
participant vignette (from the participant view) shows the media that are disabled in additional icons in the user icon: Chat Audio Video camera Participant (all media)

Here are the buttons that could be presented in the Moderator Manager (depending of the meeting type and the role of the selected participant):
 
  • you can grant moderator privileges to the other user.
  • You can mute and unmute microphone¸ video and desktop sharing of the selected participant.
  • You can mute all the media (audio, video, sharing desktop and whiteboard) sent from the user.
  • You can disable and enable the Chat of the selected participant (only the meeting chat).
  • You can disable and enable the microphone and camera of selected participant. With the microphone or video disabled, user will not be able to send any audio or video from his/her PC.
  • You can disable and enable all media from the selected participant (audio, video, desktop, whiteboard, playback and sending files).
  • You can disable and enable the raise hand ability for the selected participant (only in plenary and classroom meeting type).
  • To kick out the participant, click on . Be careful with that button: there is no way to go back.
Action on all participants of the current meeting:
  • You can disable and enable the possibility of the meeting recording. If you disable the recording, none of the participants will be able to record the meeting.
  • You can disable and enable the possibility for all the participants in the meeting to raise their hand (only in plenary and classroom meeting type).
  • You can mute the microphone of all the participants in the meeting by clicking on the .
